out by the first of the month before the month of the trip. (i.e. - E-mailed
on March 1st. for Council trips taking place during the month of April.
THIS PUBLISHING POLICY MEANS THAT THE HOST CLUB IS
REQUIRED TO COMPLETE THEIR FIELD TRIP FORM BEFORE THE FIRST OF THE MONTH
BEFORE THE MONTH OF THEIR HOSTED TRIP. (i.e - The April hosting club
needs to e-mail the D.M.C. with their COMPLETED FIELD TRIP FORM BEFORE
THE FIRST OF MARCH!)
IF THE FIELD TRIP FORM IS NOT RECEIVED BY THE EVENING
OF THE 10TH OF THE MONTH BEFORE THE MONTH OF THE ASSOCIATED CLUB'S FIELD
TRIP, THE DMC TRIP FOR THAT FOLLOWING MONTH WILL BE CANCELLED AND THE OFFENDING
CLUB WILL BE DROPPED FROM THE ASSOCIATION AND NOT ALLOWED TO ATTEND FURTHER
DMC FIELD TRIPS. (i.e. - March 10th for April DMC field trip.)
Because all member clubs of the association have differing
newsletter publishing requirements, we have decided to establish this publishing
policy. All member clubs are assumed to be well aware of all their
DMC responsibilities!

CONDITIONS:
List
any special problems for this trip.
Example - "Due to the condition of the roads and a lack of parking we will
need to carpool. If it has rained in the 24 hours before or during
this field trip, only pickup trucks, 4x4’s or other high ground clearance
vehicles will be allowed into the area. The roads in are all dirt
with some potholes and we will be parking on a slope. If you have
to leave the site early, please try to stay at the end of the caravan going
in."

list special SAFETY CONSIDERATIONS
at this location. Example - "This quarry contains very high and unstable
walls. Loose rocks can and will be dislodged by someone from above
or even by the wind. Wear a hard hat and stay away from the pit walls.
Proper footwear with good ankle support is a must when climbing around
the rock piles. Always examine the area above you for loose rocks
and boulders. Move the small stuff and avoid the larger ones.
Check for anyone working below you and be careful not to dislodge any loose
rock. Warn people below by yelling “ROCK”, if anything starts going
their way. The field trip leaders have final and absolute say as
to where you may safely work. Ladders or power tools of any kind
will not be allowed."
BRING:
A description
of what kind of tools a visiting collector will need to bring with them
to be successful. Example - "You will need
to bring a hard hat, pick and shovel, rock hammer, chisels, and a scratching
tool to work the dumps. There is plenty of water at this location for checking
your screened material if you want to use a ½ inch screen."
Also, mention what kind of clothing and other special requirements could
be needed on this field trip. Example - "As
always, bring your lunch, plenty of fluids, sunscreen, a hat, gloves, sturdy
shoes, newspaper and 5 gallon buckets. Bring rubber boots and a change
of clothes if the ground is wet or there is a good chance of rain."
DIRECTIONS AND WHERE TO
MEET:
Where we will meet:
If possible, select
a meeting place in a town near(<10 miles) from the collecting site.
Wal-Mart/K-Mart parking lots or other large parking areas where you can
find food, rest rooms, gasoline, etc. If a city meeting place is
not feasible, try country stores or church parking lots. At the meeting
place, your club can collect any fees for this location, have releases
signed(if needed), go over the rules and regulations for collecting, how
and where you will park, show example material from the site, explain the
geology involved, and answer questions from those attending. Be sure
to have guide cars in the lead, middle, and end of the caravan so that
no one will get lost on the way to the collecting site from the meeting
place. It is not advisable to publish directions to the actual
field trip location as this may encourage individuals (members and non-members)
to visit these sites before and after the actual field trip.

Try to use directions
from the nearest Interstate highway or nearest US highway. Example
- "Take I-85 north from Atlanta to exit 21 (US 178/Anderson, SC).
Go south on US 178 for one mile and bare right onto SR 28"
Drive Time:
From
the Interstate exit to the meeting site. Example - "It should
take 35 minutes to drive the 25 miles from I-85, exit #21 to our meeting
location."
