SFMS Field Trip Committee
Membership Requirement Form:
Please fill in the following DMC program membership requirements list and e-mail it back to us in order for your club to qualify to become an associate member of the DMC field trip sharing program of the SFMS Field Trip Committee.
     (1) Your gem and mineral society is a fully paid and active member of the Southeast Federation of Mineralogical Societies, Inc.

    (2) Your gem and mineral society is current with the SFMS (or Eastern Federation) liability insurance for the current field trip year.

    Your society has (3) TWO or more Internet e-mail contact addresses to coordinate the set-up and distribution of field trip information to all members of the DMC Field Trip Committee.  This could be your club's WWW site e-mail address or just one of your members who has volunteered to use his personal e-mail address as your club's contact address.  Of course, Field Trips leaders and Newsletter editors are perfect candidates for this job.  Because of past communications problems, the DMC is now requiring a back-up contact e-mail address.

    (4) Your society's board of directors has agreed in their official meeting minutes to host a mineral or fossil field trip to a location where your club normally goes to collect in large numbers.  Preferably, this means a field trip site (fee or free) that can handle a crowd and has adequate parking.  Alternatively, you may specify an attendance limit and that all persons who attend must contact the hosting club before the trip to let them know how many will be coming and from which associated club. In this situation, the hosting club will have to additionally provide a contact phone number, a contact e-mail address, and a contact mailing address on the Council's field trip form."

    Your society has (5) provided the DMC Field Trip Committee with a specific, non-conflicting, future date on which you will host your Council field trip.  Date of second hosted field trip in a month to be approved by the DMC.

    This (6) collecting location is within a radius of 150 miles (300 miles if located on a coastal border) of your club's home location or your society is the only club which can obtain exclusive access to a desirable collecting site outside the 150 mile range.  This insures a wider dispersion and a better diversity of collecting sites.  It should also limit the number of duplicate trips to more frequently visited locations in the southeast.  "We all want to visit NEW places to collect minerals and/or fossils."

    (7) Your club has also agreed to provide members to act as guides at your hosted field trip.  These members should be very familiar with the collecting location and should stand ready to identify specimens and to direct field trip guests to more productive areas.

    Provide the DMC Field Trip Committee with a completed "Field Trip Form" on the mineral or fossil location you will be hosting a trip to. (To be provided by your club at the appropriate time.)

    (THE HOST CLUB IS REQUIRED TO COMPLETE THEIR FIELD TRIP FORM (8) BEFORE THE FIRST OF THE MONTH BEFORE THE MONTH OF THEIR HOSTED TRIP.  (i.e - The April hosting club needs to e-mail the D.M.C. with their COMPLETED FIELD TRIP FORM BEFORE THE FIRST OF MARCH!)

    ( IF THE FIELD TRIP FORM IS NOT RECEIVED BY THE EVENING OF THE 10TH OF THE MONTH BEFORE THE MONTH OF THE ASSOCIATED CLUB'S FIELD TRIP, THE DMC TRIP FOR THAT 
    FOLLOWING MONTH WILL BE CANCELLED AND THE OFFENDING CLUB WILL BE DROPPED FROM THE ASSOCIATION AND NOT ALLOWED TO ATTEND FURTHER DMC FIELD TRIPS.  (i.e. - March 10th for April DMC field trip.)

    (9) Agree that all DMC Field Trip Committee field trips will be published as an "officially recognized" field trip of your society.  You cannot invite members of SFMS member clubs who have NOT provided their membership with  SFMS liability insurance or members of the general public on DMC program field trips.

In return, The DMC field trip sharing program will provide the joining mineral society with an e-mailed Field Trip Flyer for all field trips.  All flyers will be e-mailed out by the first of the month before the month of the trip.  i.e. (E-mailed on June 1st for Council trips taking place during the month of July.)

Membership Renewal:

Membership in the DMC program is subject to a "first in - first out" rule.  Those clubs which first joined will be the first ones required to set a second hosting date to remain members of the DMC.   The field trip year will consist of a minimum of 12 months until the DMC has more than 12 member clubs.  After that, the field trip year will be determined by the total number of months in which DMC field trips are scheduled.

Any member club may renew their membership at anytime.  All available future hosting months are on a first pick basis.  Those DMC member clubs which choose earliest will have the greatest flexibility in date selection! 

All clubs which were members on the first day of the first month (March 1, 1999) of the current field trip year must submit another hosting month/day before the end of the last day of the last month (April 30, 2000) of the current field trip year to remain a member of the DMC in the next field trip year.  Clubs which joined after the first day of the first month (March 1, 1999) of the current field trip year are scheduled to renew their membership based on the number of months past and including the first month of the current field trip year.  As an example, clubs which joined the DMC during March 1999 would be required to renew their membership before May 31, 2000 by scheduling a new field trip.

Any member club which has not renewed by their final renewal date, will be dropped from membership and will not receive notification nor be allowed to attend future field trips sponsored by the DMC.  Clubs may not rejoin the DMC field trip sharing program  for three(3) months after being dropped as a DMC member.  After three months, a SFMS club may rejoin the DMC if they meet all current DMC membership requirements.
